We are currently seeking a dedicated and experienced Higher Education Financial Aid Operations Consultant to join our growing consulting team. This is a fully remote position, open to candidates living anywhere in the United States, with travel required approximately 75% to 100% of the time to client sites throughout the country.

Position Summary

As a Consultant (Functional and/or Technical) at arenaflex, you will be responsible for delivering comprehensive consulting services to colleges and universities throughout the country. Our consultants work directly with institutional staff to conduct thorough operational reviews, prepare detailed assessment reports, and develop actionable improvement plans using a proven quality assurance approach. The goal of every engagement is to drive overall improvements in financial aid operations while ensuring full compliance with federal and state regulatory requirements.

This role is ideal for a seasoned financial aid professional who is passionate about higher education, thrives in client-facing environments, and enjoys the variety and challenge that comes with traveling to different institutions. Whether serving as an acting director of financial aid, performing middle management duties, or executing standard day-to-day financial aid processing tasks, you will play a critical role in transforming how our client institutions serve their students.

Primary Duties and Responsibilities

Client Engagement and Operational Improvement

  • Work closely with client institutions to identify, analyze, and address financial aid compliance and operational (workflow) issues through the development and implementation of comprehensive improvement plans.
  • Serve in interim or acting director of financial aid roles at client sites as needed, providing experienced leadership during transitions or special projects.
  • Perform middle management duties and standard day-to-day financial aid processing tasks to support client operations and ensure continuity of services.
  • Build strong, collaborative relationships with institutional staff at all levels, fostering trust and open communication throughout each engagement.

Regulatory Research and Analysis

  • Research complex federal and state regulatory issues affecting financial aid operations, including Title IV compliance, verification requirements, satisfactory academic progress (SAP) standards, and other regulatory frameworks.
  • Provide concise, well-documented analysis and actionable recommendations to client leadership regarding compliance gaps and operational risks.
  • Stay current on changes to higher education regulations, Department of Education guidance, and industry best practices, sharing insights with both clients and internal teams.

Operational Reviews and Reporting

  • Conduct comprehensive operational reviews of client financial aid offices, evaluating processes, staffing, technology systems, and compliance posture.
  • Prepare detailed, professional reports of findings that clearly articulate observations, risks, and recommendations for improvement.
  • Present findings and recommendations to institutional leadership in a clear, persuasive, and constructive manner.

Training and Knowledge Transfer

  • Lead engaging training sessions on a wide range of financial aid topics, delivered individually or to groups of varying sizes.
  • Develop training materials, presentations, and job aids tailored to the specific needs of each client institution.
  • Mentor and coach client staff on best practices, regulatory requirements, and effective operational strategies.

Project Management and Implementation

  • Create detailed project plans that outline objectives, timelines, deliverables, resources, and milestones for consulting engagements.
  • Manage software implementation, configuration, and upgrade projects for major financial aid information systems.
  • Oversee multiple concurrent projects, balancing priorities and ensuring on-time, on-budget delivery of services.
  • Create thorough documentation of completed work, including process maps, policy and procedure manuals, and final project reports.

Job Requirements and Qualifications

Essential Qualifications

  • Education: Bachelor's degree from an accredited institution is required.
  • Experience: A minimum of five to seven years of progressive financial aid experience, demonstrating increasing responsibility and leadership within a college or university financial aid office.
  • Training Capability: Demonstrated ability to organize, develop, and deliver effective training sessions to diverse audiences.
  • Regulatory Knowledge: Comprehensive knowledge of federal and state financial aid regulatory requirements, including Title IV programs, FAFSA processing, verification, and return of funds calculations.
  • Systems Experience: Hands-on experience with automation tools and major financial aid information systems commonly used in higher education.
  • Operational Expertise: Proven experience in financial aid operations, system improvements, and the ability to prepare and execute corrective action plans.
  • Communication Skills: Demonstrated strong writing and verbal communication skills, with the ability to produce clear, professional reports and deliver compelling presentations.
  • Technical Proficiency: Skilled user of Microsoft Office products, including Word, Excel, PowerPoint, and Outlook.

Preferred Qualifications

  • Three or more years of experience working with one or more of the following major student information systems: Banner, CampusVue, Datatel, PeopleSoft, PowerFAIDS, or other comparable platforms.
  • Prior consulting experience within the higher education sector.
  • Experience managing complex projects with multiple stakeholders.
  • Familiarity with quality assurance frameworks and process improvement methodologies.
  • Master's degree in higher education administration, business, or a related field.
