About the Role and What You’ll Do
As a Collision Repair Customer Support Specialist working remotely for arenaflex, you will be the operational heartbeat of our Internal Body Shop support system. Your primary mission will be to ensure seamless coordination between customers, certified collision repair facilities, and internal Claim Specialists. Core Responsibilities and Daily Functions
- Work Scheduling and Appointment Management: Maintain and optimize the daily workflow calendar for collision repair services, ensuring efficient use of shop capacity while minimizing customer wait times. You will coordinate intake appointments, repair milestones, and delivery schedules across multiple stakeholders.
- Customer and Body Shop Liaison: Act as the primary point of contact and communication hub between Customer Claim Specialists, certified body shop personnel, and vehicle owners. You will facilitate clear, timely, and professional communication throughout the entire repair journey.
- Vehicle Arrival Preparation: Coordinate all pre-arrival logistics to ensure that body shops are fully prepared to receive vehicles. This includes verifying parts availability, confirming technician assignments, and ensuring that all documentation is in order before the vehicle arrives at the facility.
- WARP and CCC System Management: Manage the Workflow and Repair Process (WARP) platform and the CCC Intelligent Estimating system, ensuring accurate data entry, status updates, and information flow between all parties involved in the repair process.
- Customer Communication and Expectation Management: Proactively communicate with vehicle owners regarding repair timelines, progress updates, and any changes that may impact their experience. You will set realistic expectations and consistently deliver on promises made to customers.
- Rental Coordination and Handoff: Arrange rental vehicle logistics for customers whose vehicles require extended repair time, coordinating handoffs and ensuring a smooth transition during the repair period.
- Vehicle Status Updates: Provide regular, transparent updates on vehicle repair status to customers, insurance partners, and internal stakeholders, maintaining a clear audit trail of all communications and milestones.
- Material and Components Reordering: Monitor parts inventory and coordinate the reordering of materials and components required to complete repairs, working closely with suppliers and the parts department to prevent delays.
- Repair Review and Quality Delivery: Conduct final review of completed repairs to ensure quality standards are met, coordinate vehicle delivery logistics, and confirm customer satisfaction at the point of handoff.
