Our mission is to deliver seamless operational support that empowers our partners to focus on what they do best—repairing, maintaining, and innovating. As part of the arenaflex family, you will join a collaborative team that values precision, empathy, and continuous improvement.

Why This Role Matters

In today’s data‑driven economy, accurate information entry and responsive customer interaction are the twin pillars that keep businesses running smoothly. As a Data Entry & Customer Service Specialist at arenaflex, you will be the backbone of our dispatch and parts‑ordering workflow, ensuring that every request, order, and service ticket is captured flawlessly and acted upon promptly. Your contributions will directly influence service delivery times, customer satisfaction scores, and the overall efficiency of our repair operations.

Key Responsibilities

Data Entry Excellence

  • Enter, verify, and update customer and service data in arenaflex’s proprietary CRM system with a target accuracy rate of 99.9%.
  • Maintain organized electronic records for dispatch schedules, parts inventories, and service histories.
  • Perform routine data audits to identify and correct inconsistencies, ensuring compliance with internal data‑quality standards.
  • Generate daily, weekly, and monthly reports that summarize entry volumes, error rates, and processing times for management review.

Customer Service & Communication

  • Respond to inbound calls, emails, and chat inquiries with professionalism, empathy, and a solutions‑oriented mindset.
  • Provide clear, concise information about service status, parts availability, and scheduling options.
  • Escalate complex issues to senior team members while maintaining ownership of the customer’s experience until resolution.
  • Document all customer interactions in the CRM to create a comprehensive service history for each client.

Dispatch Coordination

  • Schedule and prioritize service dispatches based on urgency, geographic proximity, and technician availability.
  • Communicate dispatch details to field technicians, ensuring they have the necessary parts, tools, and documentation before heading out.
  • Monitor real‑time service progress and proactively address any delays or obstacles that could impact delivery timelines.
  • Collaborate with the logistics team to optimize routing and reduce travel time, contributing to cost savings and higher productivity.

Parts Ordering & Inventory Support

  • Assist the parts department by placing accurate orders for repair components, consumables, and specialty items.
  • Track order status, confirm receipt, and verify that received parts match purchase orders and quality standards.
  • Update inventory records to reflect new stock levels, backorders, and anticipated replenishment dates.
  • Provide frontline support for technicians who need urgent parts, coordinating rapid fulfillment when necessary.

Essential Qualifications

  • Education: High school diploma or equivalent; additional coursework in business administration, logistics, or related fields is a plus.
  • Experience: Minimum of 1‑2 years of hands‑on data entry and customer service experience, preferably in a dispatch or parts‑ordering environment.
  • Technical Proficiency: Comfortable using Microsoft Office Suite (Excel, Word, Outlook) and adept at learning new software platforms quickly.
  • Accuracy & Attention to Detail: Demonstrated ability to maintain high data integrity under tight deadlines.
  • Communication Skills: Excellent verbal and written communication, with a talent for translating technical information into plain language for customers.
  • Team Orientation: Proven ability to collaborate effectively with cross‑functional teams, including technicians, logistics coordinators, and senior management.

Preferred Qualifications & Additional Skills

  • Experience with CRM or ERP systems (e.g., Salesforce, SAP, Oracle NetSuite) is highly desirable.
  • Familiarity with dispatch software or routing optimization tools.
  • Basic understanding of parts inventory management and procurement processes.
  • Certification in Office Administration, Customer Service, or a related discipline.
  • Ability to speak a second language, enhancing service to a broader client base.

Core Competencies for Success

  • Problem‑Solving: Quickly diagnose data discrepancies or service bottlenecks and propose actionable solutions.
  • Time Management: Juggle multiple priorities—data entry, customer calls, dispatch updates—while meeting strict deadlines.
  • Adaptability: Thrive in a dynamic environment where priorities shift based on real‑time service demands.
  • Customer‑First Mindset: Consistently place client needs at the forefront, ensuring every interaction leaves a positive impression.
  • Integrity & Confidentiality: Handle sensitive client and operational data with the utmost discretion and professionalism.
