The Role: Customer Service Representative (Remote)

We are seeking an experienced and motivated Customer Service Representative to join our dynamic Review Team. In this fully remote position, you will play a crucial role in providing exceptional customer service to beneficiaries and providers while supporting our healthcare quality improvement initiatives. This role offers the flexibility of rotational shifts across EST, CT, or PST time zones, allowing you to maintain work-life balance while making a meaningful impact.

Key Responsibilities

As a Customer Service Representative at arenaflex, you will be responsible for providing comprehensive customer service support to our Review Team. Your key responsibilities will include:

  • Customer Communication: Interacting with beneficiaries and providers via our helpline, addressing inquiries, and providing information about review processes and services.
  • Documentation Management: Creating, formatting, and proofreading correspondence including letters, notices, and other communications while ensuring accuracy and timely distribution.
  • Complex Decision Making: Making informed decisions regarding various types of complex appeals, applying knowledge of healthcare policies and procedures.
  • Helpline Support: Answering the Beneficiary Helpline through our hunt group and light functions, determining the best course of action for each caller.
  • Referral Management: Directing callers to appropriate services either within arenaflex or to external agencies, with proper documentation in our CMS system.
  • Record Management: Obtaining and validating notices and all components of medical records to ensure completeness and accuracy.
  • Appeals Intake: Managing the intake process for all appeals received by arenaflex, ensuring proper documentation and routing.
  • Quality Assurance: Utilizing internal quality control tools to assess individual work and team processes, identifying areas for improvement.
  • Process Improvement: Participating in team initiatives to identify potential improvements in case reviews and operational processes.

Qualifications & Requirements

Essential Qualifications

  • High school diploma or equivalent education
  • 2-3 years of clerical experience including word processing, filing systems, and telephone customer service
  • Excellent verbal communication skills with a courteous and patient demeanor
  • Customer-focused mindset with ability to maintain composure under potentially stressful situations
  • Strong written communication skills with proficiency in grammar, punctuation, spelling, and hyphenation
  • Ability to multi-task and prioritize assignments effectively
  • Good organizational skills with capacity to work independently
  • Flexibility to work as part of a team and support team decisions

Preferred Qualifications

  • Post-high school business courses
  • Medical terminology knowledge
  • Prior work experience in a healthcare setting
  • Previous data entry experience
  • General knowledge of PC-based computer systems and various software packages
