Position Overview

As a valued member of the arenaflex team, the Energy Services Data Entry Clerk will play a crucial role in maintaining organized, accurate, and up-to-date digital records that support the day-to-day operations of our Energy Services Programs. This position is integral to ensuring that vulnerable households receive timely assistance with heating, energy efficiency, and weatherization services. Your precision, consistency, and administrative expertise will directly influence the quality of service delivery to clients across our community.

This is a fully remote, work-from-home (WFH) position, offering the flexibility and autonomy to excel in a results-oriented environment while remaining connected to a supportive and collaborative team.

Key Responsibilities

  • Client Status Management: Accurately input and maintain updated client status records in the Statewide Client Service Center, ensuring the production pipeline reflects real-time data and program activity.
  • Email and Document Monitoring: Monitor incoming emails, log documents, and capture communications in the Monday.com platform promptly upon receipt, ensuring nothing falls through the cracks.
  • Database Compliance: Follow established program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and other relevant platforms.
  • File Organization: Maintain organized digital and paper participant files in accordance with program guidelines, ensuring full compliance with agency and funder requirements.
  • Cross-Functional Collaboration: Work closely with program staff to support, enhance, and promote communication and consistency in the delivery of services across all Energy Services initiatives.
  • Clerical Support: Assist with various clerical duties, including filing, mailings, and phone coverage, to ensure seamless office operations.
  • Remote Availability: Maintain consistent availability for remote work, including attending meetings, participating in calls, responding to emails, and conducting regular duties as needed.
  • Meeting and Training Attendance: Attend all required staff meetings, supervision sessions, trainings, and contractual meetings to remain aligned with organizational goals and program updates.
  • Professional Development: Participate in mandatory agency training and other relevant professional development activities to continuously build your skill set.
  • Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, safeguarding sensitive client and program information.
  • Additional Duties: Perform related work as required to support the broader mission and operational needs of arenaflex.

Essential Qualifications

  • Educational Background: Associate degree or equivalent professional experience in human services, administration, or a related field.
  • Professional Experience: Minimum of two years of experience in Human Services or a related field, or applicable work experience working with diverse individuals and families with low incomes.
  • Flexible Substitutions: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education, allowing candidates from varied backgrounds to qualify.
  • Bilingual Skills: Bilingual in Spanish is strongly preferred, enabling effective communication with a broader segment of the community we serve.
