Our energy services division plays a vital role in connecting vulnerable populations with critical utility assistance, weatherization resources, and energy efficiency programs. Behind every successful client interaction is a detail-oriented administrative professional who ensures that records are accurate, communications are timely, and program compliance is maintained. We are seeking a meticulous, mission-aligned individual to join our team as an Energy Services Data Entry Clerk, supporting the operational backbone of these life-changing programs.

Position Overview

The Energy Services Data Entry Specialist at arenaflex is a key contributor to the smooth operation of our energy assistance programs. This role is responsible for maintaining accurate, organized, and up-to-date digital records that reflect the current production pipeline of clients receiving services. Working remotely in collaboration with program staff, the specialist will ensure that all data is entered correctly into multiple database systems, that communications are logged promptly, and that participant files are maintained in full compliance with agency, state, and funder requirements.

The ideal candidate is a highly organized, tech-savvy professional with a passion for human services, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced, remote work environment. Key Responsibilities

  • Input and maintain accurate, real-time client status records in the Statewide Client Service Center, ensuring all entries reflect the most current production pipeline activity.
  • Monitor incoming emails, documents, and communications, logging each item promptly and accurately in the Monday.com platform upon receipt.
  • Adhere to program guidelines and standard operating procedures for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any additional platforms utilized by the energy services programs.
  • Maintain organized digital and paper participant files in accordance with program guidelines, funder requirements, and agency compliance standards.
  • Collaborate with program staff to support, enhance, and promote clear communication and consistency in the delivery of energy services to clients.
  • Provide general clerical support, including but not limited to filing, preparing mailings, and assisting with phone coverage during business hours.
  • Maintain consistent availability for remote work duties, including attending virtual meetings, participating in conference calls, responding to emails in a timely manner, and conducting regular program responsibilities as needed.
  • Attend all required staff meetings, supervision sessions, training opportunities, and contractual meetings as scheduled.
  • Participate in mandatory agency training and engage in ongoing professional development activities relevant to the role.
  • Maintain strict confidentiality of all client, program, and organizational information at all times.
  • Perform related administrative and clerical work as required by program leadership.

Required Qualifications and Skills

To be successful in this role, candidates must possess a combination of education, professional experience, and interpersonal skills that align with the values and operational needs of arenaflex.

Education and Experience

  • Minimum Education: Associate degree from an accredited institution, or equivalent professional experience in a related field.
  • Experience: At least two years of experience in human services or a closely related field, or applicable work experience working with diverse individuals and families with low incomes.
  • Substitutions: Additional appropriate education may be substituted for the experience requirement, or additional directly related experience may be substituted for the education requirement, on a year-for-year basis.

Core Competencies

  • Exceptional attention to detail and accuracy in data entry and record-keeping.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks effectively.
  • Proficiency with database management systems, cloud-based collaboration platforms (such as Monday.com), and Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a remote work environment.
  • Demonstrated commitment to maintaining confidentiality and handling sensitive information with discretion.
  • Cultural competency and sensitivity when working with diverse populations.

Preferred Qualifications

  • Bilingual in Spanish and English is strongly preferred, as we serve a significant Spanish-speaking population in our community.
  • Prior experience with energy assistance programs such as LIHEAP, HEATWAP, or weatherization initiatives is a plus.
  • Familiarity with state-wide client service center platforms and CRM systems.
