Position Overview

arenaflex is seeking a highly organized, detail‑oriented Remote Data Entry & Office Support Specialist to join our growing administrative team. This temporary, full‑time role (Monday‑Friday, 9 am – 5 pm) offers a competitive hourly rate of $21.85 – $25.30. The successful candidate will serve as a critical liaison between internal departments, external partners, and prospective residents, ensuring seamless communication, precise data management, and efficient scheduling of lease‑up activities.

Key Responsibilities

  • Customer Interaction: Answer inbound calls and emails with professionalism, providing timely information and resolving inquiries.
  • Scheduling & Calendar Management: Coordinate appointment calendars for lease‑up teams, schedule property tours, and manage interview slots for prospective residents.
  • Correspondence Creation: Draft, proofread, and distribute letters, memorandums, reports, and other official documents using arenaflex-approved templates.
  • Meeting Support: Prepare agendas, take accurate minutes, and circulate meeting materials to relevant stakeholders.
  • Lease‑Up Coordination: Maintain a master schedule for new property lease‑ups, communicate updates to applicants, and track progress against milestones.
  • Data Management: Enter, verify, and update resident and property data in arenaflex’s property management system (formerly Realpage Onesite).
  • Document Control: Organize and maintain electronic filing systems that comply with federal and state regulations, ensuring confidentiality and easy retrieval.
  • Audit & Reporting Support: Assist with administrative audits, generate spreadsheets, and contribute to quality‑improvement projects.
  • Communication Excellence: Deliver clear, concise written and verbal communication in English, both internally and externally.
  • Problem Solving: Identify process bottlenecks, propose solutions, and make informed decisions to keep operations running smoothly.
  • Time Management: Prioritize tasks effectively, meet deadlines, and maintain punctual attendance.

Essential Qualifications

  • Minimum of 1‑2 years of experience in a customer‑service or administrative support role, preferably in a remote setting.
  • Proven ability to handle inbound and outbound phone calls, email correspondence, and written communication with professionalism.
  • Demonstrated experience scheduling appointments, managing calendars, and coordinating multi‑party meetings.
  • Strong proficiency with arenaflex Office suite (formerly Microsoft Office/Office 365), including Word, Excel, Outlook, and PowerPoint.
  • Familiarity with arenaflex Teams and arenaflex SharePoint for collaboration and document sharing.
  • Experience using arenaflex property management platforms (formerly Realpage Onesite) is a plus, though not mandatory.
  • Exceptional written and verbal English communication skills, with an ability to draft clear, error‑free documents.
  • Demonstrated independence in completing tasks with minimal supervision.
